| Field type | How to maintain it |
|---|---|
| Text or notes | Enter a concise factual description. Put evidence in attachments and avoid unnecessary private details in general comments. |
| Fixed selection | Choose an available option. Ask the administrator/product owner if the list lacks a valid choice. |
| Category chooser | Reuse an existing label. Where the form says new values are saved with the record, type a deliberate new label and save. |
| User selection | Select the actual account offered by the form. A typed name elsewhere does not create an account or grant access. |
| Linked record or evidence | Select the intended existing record/file. Check the link after saving. |
| Date or amount | Use the field's stated meaning and currency; reconcile with the source. Respect the displayed timezone for timestamps. |
| Calculated figure | Correct the underlying inputs or child records. Do not expect an edit control on the summary itself. |
Dropdown menus overlay the page. Use keyboard navigation or scroll within the list; a form should not need to expand to accommodate a menu. Report clipped or inaccessible options with the field name and viewport size.
Business unit labels are not access assignments. A contract's label and a person's department describe the record. Formal units, membership/access scope and record responsibility are maintained under Access & identity.
